“AMMI” Description
“AMMI” is an association with 150 Members and 50 Sponsors. Its purpose is to provide education to its members and act as a contact point between Members and Sponsors.
“AMMI” has decided that a new CRM System is needed to replace the existing system. The main reason is to allow more than one user to update & consult the system from anywhere.
The new system for “AMMI” will allow the management of Personal Details and Financial Status of Members and Sponsors of the Association plus the Accounting of the Association, via one integrated program.
The existing system is PC based and consists of one Excel Worksheet for the Members, another Excel Worksheet for Sponsors, one program that manages the Sponsors and prints Invoices & Receipts, an Accounting program that manages Invoices and Expenses handled by an Accountant, and a paper archive of Invoices and Receipts managed by the Treasurer
The new system must be Server-based or Cloud-based, allowing up to 5 users to work concurrently from PCs, Tablets and Mobile phones, send/receive emails and print several Reports.
Processes:
1. Secretary sends to Sponsor email with “Sponsorship Opportunities”
2. Sponsor either rejects or accepts a “Type of Sponsorship” by email and sends “Invoice Details”
3. Secretary Registers “Sponsor” with a “Type of Sponsorship” (Silver or Gold)
4. Manager issues “Sponsorship Invoice”
5. Invoice is Saved, Printed & emailed
6. Sponsor pays sponsorship to a BANK
7. Manager checks BANK and issues “Sponsorship Receipt”
8. Manager Registers a “Member”
9. Member Pays “Annual Membership” to a Bank
10. Manager checks BANK and issues “Membership Receipt”

1. Using the above information, prepare the “Analysis Report” which consists of
a. User Requirements
b. Data Flow Diagram of all processes. Mark the Domain (boundaries) to be automated
c. Data Dictionary (i.e.: the Data Flows in terms of the Data Structures and Data Elements)
2. Design the User Interface
a. the screen that will be used by the users to enter/modify data for Members
b. the screen that will be used by the users to enter/modify data for Sponsors
c. the screen that will be used by the users to issue a “Sponsorship Invoice”
d. the screen that will be used by the users to issue a “Membership Receipt”
e. the screen that will be used by the Accountant to issue a “Membership Receipt”
