Enclosed is the a sample document from the New Zealand Inland Revenue (Tax) department.
It is a sample vehicle log book for taxation purposes. Essentially I am looking for is an app that will work on iOS, Android and Windows mobile – open to suggestions on Target platform, most of the mobiles the users have are late model with large display area.
The purpose of the app is to record the details for FBT (Fringe Benefit Tax) with the following feature:
To minimize data entry
To have a stylish, quality user interface in nice colours e.g (Red, white Black and Silver) that is consistent but implemented to your discretion for usuability.
To authenticate the driver but still be usable e.g. remember who the driver is.
To have an intuitive user interface
Menu options:
(1) Alerts – this is a channel from head office to communicate with drivers, to send an email like internal messages that triggers a bell or beep that can be made louder or quieter and enable replies to be sent, including feedback on improving the software. But note this is not an email client or has to be seperate from the users own email client on their cell phone.
(2) Useful Documents – a repository of useful PDFs in a tree menu structure.
(3) Logging - Ideally this is the flow user chooses the logging option and clicks a prominent start button (that of significant size that completes that details in the vehicle log book to a file that is either stored in .csv format and records the available information including location based on GPS data. The “Start” button then becomes a Stop button When the user arrives at the destination they click Stop and the GPS name location e.g. Henderson, Auckland is located. The user will still enter in things like purpose. If the Odometer finish KM’s are not recorded, the user can not start logging again until this is done and they will be given and intelligently displayed warning message.
(4) Vehicle Expenses – recording date, provider, purpose e.g. petrol, odometer and dollar amount, gst and line (total) - gst is Goods and Services Tax in NZ this is 15% of all Goods and Service sold.
(5) Email log file to accounts – to take the log file and attach it to an email generated from the users mobile phone email client

To upload the data to a static FTP server connected over standard 3G internet connection.
When done we would like copies of all source, we retain copyright.
And ask for copies of all source with each new version once new features are added with feedback.
