Organizing Your Softball Fundraising Efforts
As you create this season’s softball fundraising idea list, keep these tips in mind for a successful fundraising season. First, you’ll want to keep in mind that everyone has the same general goal in mind, to raise money for the team, so listen to the ideas your volunteers offer. They may need to be adjusted a little, but your volunteers need to feel that they are truly involved in the process of raising funds for the team. It is also a good idea to keep them informed of how much you appreciate their efforts. Reward them at every opportunity. Show them how much their efforts are helping your bottom line. The more involved they are, the more they will remain loyal to your team’s fundraising goals.
The players need to be responsible for raising funds too. Assign them as many tasks as you can. Even the youngest players can perform useful tasks to help improve the bottom line. Anyone can collect cans to recycle or perform trash detail after an event. They want to help, so be sure to find things for them to do at every opportunity and at every fundraising event you plan.
Write a good fundraising letter and send it to businesses in your area. If you team has a great record, boast a little about it in your request. If they don’t have such a great record, explain in your letter how important it is to keep kids busy doing something constructive. Don’t be afraid to ask for donations in your letter. Businesses are usually willing to donate cash or goods to be sold for cash in raffles or silent auction events if they know its tax deductible. In most localities it is, and that makes it a win-win situation for them. Send the letter out to every business you can think of, and the one you think is the least likely to help you is usually the one who offers first, so don’t count anyone out.
Take the time to organize your events carefully. Make sure there won’t be any events going on in your area that will distract potential customers away from the event you are planning. If you are pre-selling tickets to an outside event, be sure to include a rain date on your flyer or other type of advertisement you choose to use. Create a timeline to help you visualize your plans. Once you have your events scheduled out on your timeline, share it with your volunteers to be sure they have the availability to participate. Send the final timeline, after any adjustments are made, to your volunteers, players, and coaches so they can be aware of events in advance.

For instance, if you are planning a yard sale add a bake sale, a cook out, advertise baby sitting services by your team, and anything else you have coming up so your current customer’s can make plans to attend other events you are having.
