Overview
Our client use a custom Outlook add-in to E-File email correspondence regarding projects to Microsoft Exchange Public folders. Users subsequently access the emails using a database application called Tracker which allows them to bring up past correspondence concerning current and previous projects in Outlook. Completed projects are marked as completed within Tracker but there is currently no system of archiving these old emails. The public folder database has now grown to 350 GB with 14,000 folders. We would like to reduce this size to make an imminent migration to a new public folder server faster and safer as well as to reduce daily backup and restore times. Most folders represent complete projects and these emails are only occasionally accessed.
PST files
It is proposed to archive dead items (emails) to .pst files to reduce the size of the public folder database. However we would like staff to still be able to access the dead files through Tracker as before. Ideally users would not be aware whether the files they were accessing were stored in the public folders or the .psts. By default Outlook is limited to 50 GB max .pst size so there would need to be several .psts. We suggest to do this by year of completion. ie everything before 2010 in one .pst and one per year subsequently. Going forward we would also want a continuing system of archiving dead files to prevent a future build up. This would be a process that could be run manually, specifying a range of dates of completion.
Job Description
Create a program that will prompt for: a range of dates a Microsoft Exchange public folder server the path to a .pst file. It will then query the Tracker SQL Server database to determine projects that have a completed date between the two supplied dates.
For each of the retrieved projects it will:
Find the relevant Exchange Public folder by using information in the database according to rules that we will provide.
Recreate that folder path in the .pst file.
Copy the contents of the folder, including any subfolders, to the new folder in the .pst file.
Update the database record with the path to the .pst file.
Delete the contents of the folder on the public folders.
