Stock/material tracking of a technical database.

We need software with a database filled up on a mini-laptop of a technician or a PC at client’s site by the technician.

There’s a database for Client, Client’s plants, Machines at plant, Technicians, Materials, Liquids, Cylinders for the liquids, Suppliers, Performed jobs, Repair and Maintenance sheets, 3 test sheets (editable by the user), possibility to add some premade forms/templates (see further) and a database of different consultable files with different formats (drawings, pdf, xls, doc,…files where those can be add by technician or office manager), mostly technical information but linked to a Plant or a Client.

Take an average of 20 items to be filled up/record (a premade sheet per item with +/- 20 empty boxes)

Every level is password protected.

Some boxes are auto filled up (date, hour, previous filled-up boxes...)

Checking possibility when new record is added if record doesn’t exists already.

Search facility (with AND AND AND or OR OR OR possibility and crosscheck between the databases) on every database on +/- 5 items which were filled-up (example: search all jobs where technician went for postcode 0000 to 1111 or all records of technician B between 2 dates or all Plants where technician B used material ‘Nail32’) and display them on the screen in a filtered format.

Print facility after filtering database(s)

Possibility to remove (authorization needed by password) some sheets/readings and/or to archive them for later retrieval.

Technician can remove also but only his add's for the last week or month (settable)

Technician 1 fills up the database what was used and what he did at a Client done (repair or maintenance sheet) when he leaves plant X.

Update of plant X is stored on his PC/laptop and on an USB Stick with the latest readings where the stick stays on site.

As soon there’s an internet connection, the latest readings on the laptop is transferred automatically to a Master database (web application, remote database, or even better direct to the main computer in the head office)

Technician 2 and 3 are doing similar jobs elsewhere (Plant Y and Plant Z) and both are updating also to the Master Database with their own readings.

On the same moment they’re automatically updated with the readings of technician 1.

Technician 1 will receive also all the latest readings of technician 2 and 3 as soon he has connection with the Master database.

The fast updates are only the newest readings and goes automatically as soon a connection is made with the Master Database.

The Master Database can be edited by the office manager (password protected) to alter some readings of the technicians.

In the office or on a distant location, the Master database is consultable by the main office.

Technician 3 goes back to plant X (where technican 1 didn’t finished his job because he had not all the repair tools with him), performs some jobs there, fills up the database and inserts the Plant’s USB stick in his laptop. Latest readings of plant X are then transferred to the USB stick even if technician 1 forgot to insert the last time the USB to update it that time.

On the USB stick is also the technical information available of that specifice site like manuals, drawings.

So on every laptop, there will be always mostly the latest readings from every Plant/Client/Machine from every technician.

There is also a very strict tracking of used liquids. The tracking starts when receiving the liquid in the office, follows it to the van of the several technicians and finally ends at the client.

A Plant can have different liquids and cylinders and a full or partial full cylinder can be emptied at several Plants or Clients. Cylinder content (big cylinders) can be transferred to different smaller cylinders.

Three different premade sheets (templates freely editable by the user in for example Word or Excel with their logo on it) where some readings will automatically be inserted.

Premade forms: user can make in Excel or Word templates which then can be used to fill up the empty boxes on that template. Once filled up, this template is saved for later retrieval. The Search facility can search in the saved files to specific words.

Easy install process of the program by the user.

To be made in English, French, German, Spanish and Dutch (we will provide the translations)

Language and units (IP or SI) to be chosen at the initial install of the program.

A relative precise description is available but changes must still be made. All intellectual rights are transferred to us as soon you start with the programming.

In what programming language you do this job it is not important for me, as long as it is stable, fast and reliable and doesn’t need not much resources on our computer.
