We are a web development company based in Australia. All our staff and contractors work virtually. We use online project management systems (Basecamp), email for communication and an online billing system (Freshbooks). There are lots of small, quick but important tasks that need to be done within our company on a daily basis (Mon-Fri). We are looking for a person who can slot into our team, work with us effectively, and whose role will increase in both time and remuneration as their experience in this role grows.
Here are the lists of tasks. Many of these tasks will only occur once every week or two weeks. I expect that this work will start at 1-2 hours per day (M-F) and will increase as you can take on more and more tasks. Projects and Invoicing (Most Important Set of Tasks) * enter project details into Basecamp (create new project, apply template, add PM, add partner (if clear which partner it will be)) * receive faxes via email and upload it to particular project (or forward to relevant person for action) * set client details up in freshbooks * generate initial invoice and send to client * send client welcome email + brief + terms & conditions * add issues to basecamp as they are flagged by client or PM - in accordance with protocol * send reminder emails to clients at scheduled times * watch milestones and remind PM when anything is overdue or has not been dealt with * liaise with our partners to follow up projects that are late When a project is completed: *send project completed email to client *take screenshot of website *optimise image (using [url removed, login to view] - very simple!) *add to our website portfolio *check with PM as to whether it should be displayed or not Other tasks we might get you to do in time: Hosting Accounts: * set up hosting accounts (we'll show you how!) * sending out standard hosting account details and email set up emails Other Tasks * add quotes to BC or FB? (to track our conversion and as a record) - add up quote ACCEPTED entries for particular job in BC and include in invoices * keep updated library of standard emails which go out at which point to clients * create editable pdf's as required (if you have the software) * make suggestions about how we can be more efficient and, if you have the skills, advise us on business systems and processes (though we do not expect all applicants will have this skill - this is a bonus!) * maybe some content writing - particularly instructions to help clients * if you have SEO experience, that is a big bonus as well! * and various other bits that pop up from time to time! This job needs someone who is highly organised, reliable, smart and with professional level English. You must write like a native English speaker. We need a team member who will see this as a long term job - not just something to fill up the next few weeks. It is possible that, for the right person, this role could become full time. We will provide instructions about how to do all of these things - we are all available by skype most of the time and so can support you as you learn how to do these tasks. We can use skype screen sharing or record videos to show you exactly what to do!
