This position is responsible for the reception area and providing clerical and administrative support.
Responsibilities:
• Greet and assist clients and visitors as they arrive to the office.
• Handle all incoming calls and appropriately transfer to attorneys, staff, or voicemail.
• Ensure all mail at reception is delivered to the appropriate individual.
• Manage multiple conference rooms, set-up for meetings, videoconferencing and teleconferencing.
• Order, maintain and stock office supplies. Stock refrigerators with water and soft drinks.
• Communicate with vendors and coordinate events as necessary.
• Liaise with NY office Librarian.
• Organize travel and book accommodations as needed.
• Liaise with the IT Department in NY office to troubleshoot/resolve issues.
• Assist with overflow assignments and miscellaneous tasks (e.g. faxing, printing, scanning, spiral binding, etc.).
• Work closely with the Office Manager.
• Maintain daily attendance.
Qualifications:
• Effective verbal and written communication skills.
• Ability to multi-task and prioritize.
• Excellent organizational skills
• Knowledge in MS Office Suite, Outlook, and general office equipment.
• Team Player
• Flexibility to work overtime when needed.
• Associates Degree preferred.
