Power BI cannot automatically refresh from an Excel file sitting on your local drive. The service has no route to your hard disk. There are exactly three ways to get scheduled refresh: Keep the workbook in OneDrive or SharePoint. Power BI connects to it directly and refreshes on a schedule with no extra software. This is almost certainly what you want, and it needs no additional licence. Install the on-premises data gateway on a machine that stays on. Works, but the machine has to be running whenever a refresh is due. Or refresh manually in Power BI Desktop. Free, but it isn't automatic. If you're on OneDrive already, this is a non-issue and I'd just build it there. If not, we should decide before I structure the workbook, because the file location affects how the queries are written. On the workbook structure: Separate tables per your list, but built as proper Excel Tables rather than ranges. That distinction matters more than it sounds: a Table auto-expands when you type a new row, so Power Query picks it up with no adjustment. With plain ranges you end up editing the query every time the data grows, which is exactly the "extra manual steps" you want to avoid. Orders, products, shipping, fees, ads and expenses as separate tables joined by keys, rather than one wide sheet. That's what makes store-level and product-level rollups work without duplicating figures. Profit and margin as DAX measures in Power BI, not as formula columns in Excel. Measures recalculate at whatever level you're looking at — order, product, store, month — from one definition. Formula columns give you the wrong answer the moment you aggregate. One thing your brief doesn't resolve, and it needs a decision from you: advertising spend usually sits at campaign or store level, not per product. To show product-level profit you have to allocate it somehow — evenly, by revenue share, by units sold, or by direct attribution where a campaign maps to one product. Each gives different answers. I'd default to revenue share and let you override, but tell me if you have a preference, because there is no technically correct answer here, only a business one. Same question, smaller, for shipping when one order contains several products. On your request for examples: I don't have client dashboards I can show you — I'm new on this platform and I'd rather say so than send screenshots of someone else's work. What I'd offer instead is better than a screenshot.
