We are an intermediary between banks and clients. We need to get documents from clients, which we then pass over to the banks. We are in the process of automating the process. For this whole process we are using a document manager (Omnistar Drive) and a crm (Vtiger or SugarCRM). We have broken down the job into segments, and we are looking for someone who can do some or all of the jobs listed below. The different jobs are sorted according to the different services that are linked together.
1. Application (website form) ? CRM
a. Application will insert all of the client data into the CRM
2. Application (website form) ? Document Manager
a. The application page will create a new user in the Document Manager, a new folder and will assign the correct permissions. An email will be sent to the user with instructions
b. Documents can be uploaded in the registration form directly to the Document Manager
3. CRM ? Document Manager
a. Each contact in the CRM will be linked to a user in the Document Manager (logical link)
b. In the CRM, there will be a hyperlink to the relevant folder with all the contacts documents in the Document Manager
c. For each contact in the CRM maintain a list of required documents, with all the uploaded documents (in the Document Manager) marked off
d. Each document will be sorted by a specific type – in the list in the CRM and in the Document Manager
4. Client ? Document Manager
a. Documents that are attached to an email that the client sends will be automatically uploaded into the Document Manager (if the CRM already supports being updated by email, then just catch a ride on that)
b. Client can only see his comments and replies to that in the trouble tickets
c. Client can log in to the Document Manager through the user that is generated for him, and he can manage his documents
5. Client ? CRM
a. An option to mark a document in the list as not good (provide a reason from a preexisting list), and notify the client automatically
6. Bank ? CRM
a. When all the relevant document are updated, send a link to the bank (automatically) to a page that already has the username and password filled out (the username will only have permissions for that client)
b. Make a link from the CRM to display all the documents from the Document Manager
c. When bank replies to an email containing the name (or a different identifier) of a specific client, the CRM will be updated
d. The bank can specify whether it approves the client, and whether it requires another document from that client (or other clarifications)
e. Bank should be able to post comments (questions, clarification etc). These comments will be emailed to the client after review by moderator
f. If the bank marks interest in a client, it will be notified automatically when a document has been uploaded or modified
7. Bank ? Document Manager
a. The link for the bank will not require a password from the bank
8. In some cases all the email communication and documents emailed or uploaded will be done through a referring partner and not directly from the merchant. We need to track who referred the client.
