Description: Extremely Detailed so you know what I am looking for.
eBay Motors clone, with customizations. In detail, nearly everything I am looking for is listed below. Please make sure you can do this before giving me a bid either in money or time. Also, if you can host this once it is done, that would be a plus. You may start with software already available and tweak it with these changes, it is your call.
Sellers and Buyers will need to “register” per normal website registration process for user name and password. We will obviously need to capture all of their data such as name address phone number etc. Vehicles will be listed for a set amount of time which they can be bid on by bidders in an auction format.
The seller should have to create an account before they can post or list a vehicle for auction or bid. They will then use this login from then on. The information we should capture is their First and Last Name, Address, Drivers License Number, Home Phone Number and Cell Phone Number if available, a valid email address. Upon completing the registration process an email should be sent to the seller with a verification link that they must click on in order to validate their email and registration. If they do not validate their registration, their user account should be disabled. If anyone tries to sign in using an account that is disabled, an error message should popup asking them to contact the admin and a link provided to email the admin. Also there should be the normal, if you forget the password feature that most websites have that will email the user their passwords. Seller will need to be able to “post” vehicles online for sale. A maximum Number of pictures per vehicle as defined in the admin section. The default number of pictures for now is 4, however there should be an option to the seller to increase the number of photos to 10 for an additional fee. Also I would like a picture size limit that is controlled in the admin so that no one can load pictures that are too big. I would like to be able to charge different amounts depending on the number of pictures posted, placement of auction in results page, if it is a featured auction (which if it is a feature auction it should stay at the top and be highlighted to draw attention to it just like eBay, just like most sites currently do, and charge different amounts depending on the length of the auction. 7 day or 14 day will be the 2 options and I will need to be able to charge a different price for each. I will need a field in the admin for each of these so that I can setup different charges based on different features that the user may choose. I would like to have thumbnails with a larger picture that a “mouse over” will make them populate to the bigger picture. There will need to be a form that sellers fill out with the vehicle information such as Year, Make, Model, Mileage, Vin Number. Most sites use a Vin decoder to decode the 17 digit Vin number of a car and automatically populate the year make model mileage, engine type, trim etc from the Vin number so that would need to be built and factored in. I have no database for a Vin decoder, it would be part of your job to complete this. Also we would need a field for the Reserve Price which would not be displayed to the buyer, but would make a note on the vehicles auction page that the reserve price has or has not been met (just like eBay), a Buy it Now Price (which should disappear once there is a bid, although this field would not have to be filled in by the seller and a starting bid price that they should enter. If they do not enter a starting bid price then it should default to $0.00 Also I would like a Make an Offer Button. The Make an offer Button should only show up once a vehicle has less than half of its listing time available for the auction (for instance if a vehicle is listed for 7 days the make an offer button should show up when there are only 3 days left, or if the listing is for 14 days then it should show up after 7 days have passed. The make an offer button should not accept any offer that is less than 80% of the reserve price or less than a current bid on the vehicle. I would like this button to stand out, so possible a bright color could be used. For example: If a vehicle is $3500.00 it should not accept any offer less than $2800.00 which is 80% of the reserve price. If a bidder tries to make an offer that is less than 80% of the reserve price or less than the current bid, a polite message should popup informing the user that the offer was too low and to please make a higher offer. Once an offer has been made that meets the 80% and current bid requirements, an email should be generated to the admin that an offer has been made and include the offer, and the vehicle information and the information of both the bidder and seller of the vehicle such as contact info phone numbers etc. Also, if an auction ends and the vehicle has not been sold, I would like an email to automatically be sent to everyone that bid on that particular vehicle informing them that it did not sell and to please make an offer. The email would have to include a link to go to the make an offer feature for that particular vehicle. Also if anyone “watches” a particular vehicle, like they can on eBay, if it does not sell and they have the vehicle in their watch list, I would like the make an offer email sent to them as well, notifying them that the vehicle did not sell and please make an offer. If the seller does not include a Buy it Now Price then the Buy it Now button should not show up for this vehicle. There should also be a description field which should allow the seller to type in a detailed description. The layout should look like eBay motors layout, except instead of having several large pictures, I would like 1 large picture and thumbnails that can be clicked or moused over to put them into the larger picture.
It should also show time left for auction, number of bids, etc. just like eBay. The starting bid price will be what the buyer will see as the starting bid before they actually place their first bid. The starting price should not affect the buy it now feature. This should remain until an actual bidder places the first bid. Also there should be a re-list option for the seller in case his vehicle does not sell. I will need to be able to setup a fee in the admin for the relist option. An email should be sent to the seller stating the auction has closed without a winning bid, would you like to relist? If they choose yes via a link in the email then a fee should be created and posted through PayPal into our account for the relist fee, and the vehicle should automatically be re-posted in the auction for the allotted time frame either 7 or 14 days unless they are a customer which we have setup for billing then they would not be taken to the PayPal screen.
The seller should be able to click on a button similar to “my eBay” maybe titled “My Garage” which should show them all of the vehicles they have listed, bid on, bought or are interested in or watching. Just like eBay’s “my eBay” button.
I want admin to have the option of approving all pictures and listings before they are posted for everyone to see. Admin should get an email with a link to the post letting admin know new pictures have been posted or a new vehicle has been listed. This link in the email should take admin to the posting for viewing of the pictures and content. The admin should see an “allowed button” and a “not allowed button.” If the admin clicks the “allowed” button the posting becomes available in search results and all users can then see the posting. If the admin selects the “not allowed” button, a text box should pop up so that the admin can type a reason for not allowing the posting and a send feature that will send the reason as well as automatically send along the vehicle information and a link for the seller to make the changes and resubmit for allowing the posting to be visible to everyone. The auction time should only start once the posting has been allowed. Also, Admin should have the ability to turn this feature off and on in the admin panel for each user and for all users within a group with the default being turned on. A confirmations page should show for the seller to let them know that before the vehicle becomes visible to the general public it must first be authorized by the admin and that this usually happens within 24 hours and that the start of the auction does not begin until the admin has approved the posting.
Admin shall be able to make a change to any posting, either wording, or deleting pictures of a posting.
If the seller edits the listing then a note should show up for that listing that it has been edited, just like eBay.
I would like for the seller to have an Added Time option. If the seller chooses this option it should automatically extend the auction for 5 minutes if a bid is received in the last 3 minutes of an auction. This would work very similarly to how [url removed, login to view] extends their times. Also if the seller chooses this option when listing their vehicle a note should show up on the listing page that the auction is set to extend its closing time in the event of a late bid. It should also have a link to the FAQ page so that I can give a better explanation to potential bidders.
When a seller Post or Lists a vehicle they should be given options in order for them to choose how they want the vehicle listed. The options they will choose should have a description and a radial button next to each so that they can select them before the vehicle is sent to admin for approval of the post. These options and Descriptions are as follows:
7-Day Listing Fee or a
14-Day Listing Fee
A Re-List Fee 1– this option automatically relists the vehicle in event it doe not sell. – will not send email after first listing expires asking if they want to relist since they will have already chosen this feature.
A Featured Auction Fee (which would highlight and place the auction at the top of the search pages)
An Added Time Fee – (would work like [url removed, login to view] in the event someone bids in the last 3 minutes more time is added to the auction.)
Additional Photos Fee – the default is 4 photos, if they choose this option it will increase to total of 10 photos
The Total Package Fee- the total package if chosen should automatically choose the 14 day listing, the re-list fee 1, the Featured Auction fee and additional photos fee, all for 1 low price as defined in admin section.
As always, I would like the ability to change the wording for these.

They should have to create an account before they can post or list a vehicle for auction or bid. They will then use this login from then on. The buyer should see a box that has the current price, the required minimum bid they must make which would be the current price plus the bid increment set forth in the admin, thus if the current price is $500 and the bid increments is at $50, the minimum bid would be $550.00. Also buyer would need to have the ability to have their bids automatically entered on their behalf. For instance the minimum bid is $500, the bid increment is set at $50 and they are willing to bid $650 the computer should bid them in at $550, if someone outbids them at $600, it should automatically bid for them at their $650 price entered basically like any other “Proxy Bid” feature on sites like eBay etc… Also we need to send outbid and confirmation of bid emails to the bidder each time they either bid or are outbid. Of course they will not need to confirm their bid from the emails; it will just alert them and give them a record of their bid. If a bidder wins an auction, meaning they were the high bidder at the end of the auction and the auction has met or exceeded the reserve price then the bidder would have to “checkout” by paying through PayPal a buyer fee. I do not want the price of the vehicle to be sent to PayPal, just a deposit amount. So you would have to make a gateway to PayPal and send them our email address so that they will put the money in our account and also only send the deposit amount. The deposit amount should be a field inside the admin section that I can input a dollar amount and it will make this the deposit for all successfully winners. A winning bidder email should be sent to the buyer with a link to our checkout page, which should populate the deposit and our information for PayPal. The buyer needs to be informed that they won the auction and that they must complete the checkout process for paying their deposit within 30 hours. If they do not pay within 30 hours, their account should become disabled. The time frame that a buyer has to make deposit payment should be editable with a field in the admin section, thus if I ever decide to give buyer more or less time, I should only have to enter a number in the field in admin and it would change it. The buyer should be able to click on a button similar to “my eBay” maybe titled “My Garage” which should show them all of the vehicles they have listed, bid on, bought or are interested in. Just like eBay’s “my eBay” button. Buyers should be able to sort results by price, time of auction ending, buy it now pricing, plus any other option available that major auctions use. If a vehicle has won and the buyer does not complete the payment of the deposit within the given time frame, then the Make an Offer email should be sent to all other bidders and watchers of the vehicle.
Buyers should have a search tool for use on the homepage as well as the results pages in order to search for Make and model just like on eBay motors. It should look and feel like eBay’s with the drop down menus etc. Once they select the make, the model field should only show models for that manufacturer just like eBay. These results should be sortable like eBay as well. Also, a search by body type needs to be integrated like eBay motors has. I suppose to make this possible sellers will have to select the body type when posting the vehicle unless the Vin decoder you use or build can decode the body type from the Vin number.
Buyers should have the ability to ask the seller a question about the vehicle. This question should show up for everyone to see for that vehicle just like on eBay. If a question is submitted the seller should receive an email with the question and a link to answer the question that should also show up like on eBay. I do not want the seller or the buyer to be able to contact each other directly or to exchange contact information thus I want all communication to go through the website. You can list the high bidder and the number of bids just like eBay does, but I do not want the seller to be able to look up the buyer and vice versa. Also I would like a word filter section in the admin so that the site will automatically filter out words that I choose.
The Checkout Procedure:
After a buyer has clicked on buy it now, has won an auction or has made an offer that has been accepted, the buyer should be taken to a checkout screen that describes the auction they have won. They should also be given an option to purchase an “Inspection” of the vehicle. I will need the ability to edit the text so that I can describe what the Inspection is and why they should purchase it, but they will need a radial button to accept the Inspection or decline the inspection. Once they have done this, it should proceed to take them to PayPal. The deposit amount should automatically be the amount sent to PayPal not the full purchase price plus the fees. The checkout screen text should be customizable by admin, but should automatically describe the auction won. The text field should state that they must pay their deposit on the vehicle won through PayPal and that they must come into the auction facility itself to pick up the vehicle and to finish paying for the outstanding balance of the vehicle. The deposit amount should be a field in the admin that I can enter a value and it will automatically send that amount for all users to PayPal when they go through the checkout procedure. The checkout screen should include our address, phone number and a yahoo map giving them directions from their location to ours. They will have 72 hours after the close of the online auction to pay for the vehicle in full in person at our facility with cash or a cashier’s check or they will lose their deposit payment. They should get an invoice via email that shows the amount of the vehicle, plus the fees, plus the inspection if they choose it, minus the deposit they paid via PayPal leaving them with their balance due. This is the amount they should be instructed to pay at the auction facility within 72 hours from the close of the online auction The time frame should be editable from he admin side. This invoice should include the vehicle details.
Admin section should be menu based with radial options for each menu item.
I should be able to have all of the features as [url removed, login to view] with the additions of under section “Payment Gateway’s” I only need the PayPal option. I also, do not need bidfind support or countries table. Under “Multilingual Support in Preferences” I only need options for English as the default, but would like for Spanish speaking customers to be able to change the website into Spanish, but the admin would not need to do this, the actual customers should be able to click on a Spanish button to change this on the homepage.
Any and all emails should be completely customizable at any moment through the “back end” Admin screens. I would like the ability to send all fees except buy and sell fees to a different PayPal account than the buy and sale fees are sent to. Basically in the admin control panel I would like to specify which PayPal account to send which payment types. At the most I will need two.
I should be able to look up a particular user and edit their fees on an individual basis.
I need the ability to ban users based on ip’s or account information etc.
Anything a user can do, the admin should be able to do as well, on the backend.
Admin will need a bid increments table like the one at this site [url removed, login to view]
All of the following are separate fees that we should charge for. Each fee should have its own field in the admin section and should be changeable by just typing in a different amount in the fee box. Also each fee should be able to be independently adjusted for every user. The fees should be charged once a seller chooses the options when posting or listing the vehicle and once a buyer chooses an option and the automatic fees generated. The fee fields are:

14-Day Listing Fee
A Re-List Fee 1- this fee will be included in the seller options when they originally list the vehicle. It automatically relists vehicle in event it doe not sell. – will not send email after first listing expires asking if they want to relist since they will have already chosen this feature.

Automatic Fees generated once an auction is won:
A Sell Fee- which would get charged once a buyer wins an auction
A Buy Fee- which would be added into the total the buyer owes once they win an auction
While this is not technically a fee, I will need a blank field in the admin to put the deposit amount to be sent to PayPal. This will be the default amount for all users that are on the PayPal method. Obviously customers that are billed would not be required to pay a deposit through PayPal.
I need the functionality of having a default user type which would all be charged the same fees that would be set up in the admin section. This user type would be considered “Public” by the admin. Also, I would like the ability to set up different users with different fees, terms and automated emails. This user type would be considered “Dealers”. Outside of these user types, I would like the ability to adjust individual Dealers or Public’s fees, so that if I have a particular customer with special fees, I could go look up that user in the admin panel and set his fees separate from his “user type”. Also, under the users that are designated “Dealers” admin needs the ability to invoice or bill the dealers at the end of each month instead of making them pay immediately though PayPal like the public will have to do. There should be a radial button next to each user that will specify whether to “bill” or to make them pay immediately via “PayPal” although this option only needs to be included under the dealers user types.
Any vehicle that is bought and is not paid for within 5 hours will need to be automatically relisted. This of course should not happen if that buyer is setup as a billed customer in the admin section as they will have an invoice sent out at the end of the month for any fees owed.
I would also like a coupon code box so that I can do various promotions via advertising where the users could enter a coupon code that I define in the admin panel and this coupon would change their fees for a specific amount of time or a specific amount of transactions. When the promotion would end I want to be able to simply erase the coupon code in the admin panel thus effectively ending the promotions so that if the code where entered again, it would not trigger the discount any more or after the time period entered has expired that coupon code would expire therefore I would not have to do anything after initially setting up the discount and time frame. The discount should be for any or all of the fee options. Also I would like a report so that I can quickly see how many people used the coupon code for a given time frame.
The system should be as automated as possible with the admin having to do little maintenance. All old vehicle data on vehicles that do not sell should be deleted from the system after 30 days from the end of the auction including photos etc. However, a record should be kept of this vehicle so that admin can see in a report and know how many vehicles have been posted.
The website must be secure and branded with a secure payment feature that you will use. Since it will be hosted on your site at least for the first year whatever security you use, I would like it boasted about on the site to reassure users their information and pass through to PayPal is secure.
Each vehicle that is posted should get a stock number. This stock number or item number should be automatically assigned just like eBay automatically assigns an auction item number. The format for the stock number should be the last 6 of the Vin number plus the number of cars that have been posted, for instance. The Vin number of a car posted is WBSNB93567CX07486 and say it is the 300th car posted or listed then the stock number or auction item number would be X07486300. This way I can cross reference this with our auction software that is already in place at our facility by using the last 6 numbers to look the vehicle up in my system here, plus let me know just by looking how many vehicles have been posted. This also assures that 2 vehicles ending in the same 6 digits on their Vin receive separate auction numbers. The stock number should print out on the buyers order and on the PayPal payment like eBay’s auction number is on its payments.
For some vehicles listed, the actual vehicle will be offered for sale at our live facility after the auction has run online. We will use the price bid online as a pre-bid or starting bid at our live facility. If nobody bids higher at our live auction than the highest bidder online, assuming it met the reserve price, would be the buyer of the vehicle. For these vehicles we will call them a “Protect” vehicle. Only admin will be able to list a Protect vehicle for auction. Therefore admin needs to have the ability when the admin posts a vehicle themselves to designate the vehicle a Protect vehicle via a radial button. Also a Protect vehicle should have a disclaimer included automatically with the vehicle description that the vehicle will be run through the live auction after online bidding is closed. If the online bidder remains the high bidder and the reserve price is met they will need to come in to our facility to complete the rest of the payment just like for a normal vehicle. Admin will need to be able to go to a section in the admin screen and view a list of vehicles that were Protect vehicles and received bids for a particular date range. From this list admin will need 3 radial buttons to check for each vehicle. These buttons will initiate a couple of things. One radial button will be checked by admin that will automatically send the buyer the normal congratulations you won email that all normal buyers will receive with the auction information, stock number, price of vehicle plus fees minus deposit with the amount due and the normal instructions for completing payment at our facility within 48 hours or lose their deposit. Another radial button option will be to automatically send an email that the bidder was outbid at the live auction and their deposit has been refunded. And the third radial button option will send the make an offer email that will let the bidder know that the vehicle they bid on did not sell during the online or the live auction and that if they are still interested then please make an offer. The make an offer button is described earlier under the “Sellers” section.
A”Help” or “FAQ” button should also be included so that I can add questions and clarifications that users ask, like a normal FAQ or Help section on a website.
I would also like a “demo” account that would allow prospective customers to login with the demo account settings and post vehicles or buy vehicles in the demo mode that would not really change anything in the system. Strictly for demonstration purposes only. Also I would like a separate demo login for the admin side in case I ever want to demonstrate the software to other auctions to allow them to play with the admin settings without really changing anything at all.
I would like the ability to turn off the ability for users to Post their own vehicles in case we only want to post vehicles that are at our live auction. In this mode only admin would be able to Post a vehicle to the system. This mode should also make any visible references to posting on the site disappear thus people from the general public are not trying to post vehicles themselves. Of course the default would be to allow everyone with a verified user account to post.
Default results displayed should be by time ending soonest, but should be able to be sorted like on eBay.
I need to be able to get reports that tell me how many vehicles that have been listed over a given time. How many vehicles have sold in a given time frame, The percentage of sold vehicles in the time frame specified, How many bids we have had in a given time frame and how many users we have. I also would like to be able to pull these reports by the user, so that I can tell a user that he has listed X amount of cars, has sold X amount of cars, has sold X percentage of listed vehicles, has received X amount of bids and has had X amount of views on his vehicles etc over a given time frame.
I also will need to know how much fees we have collected through PayPal and have billed out as well, via a report. This like all other reports should be able to generated by time frames or date ranges. This report should give a total of all fees for the given date range as well as a breakdown for each category of fees and the total for each category. For instance: Total Fees Earned $7,500.00 Fees from PayPal $3,500.00 Billed Fees $4,000.00- this equals the $7,500.00 total fees. Collected Billed Fees $2,500.00 Outstanding Fees $1,500.00-this equals the $4,000.00 billed fees, (it should get the collected fees and outstanding fees from when admin “posts” the fees collected through the admin side) and then a breakdown such as 7-Day List Fees $1,200.00 14-Day List Fees $1,000.00 Time Added Fees $500.00 etc etc which should all add up to the Total Fees of $7,500.00 in this example.
I will need to be able to generate a report for billing, in case I have a user that I set up to not have to pay fees online and instead bill that customer. I will need to be able to generate the total amount of fees that the user owes and print this out for billing. This report should include the customer information, name-address-phone number-username, the breakdown of fees owed, the total amount owed, the auction number for each fee that is owed for, any payments that have been received, the user name for the account holder and include an invoice number as well as a due date to send the payment by. The invoice number would just be a sequential number and you can start it with 1000, thus the next bill would have an invoice number of 1001 etc. The email should have text that states please remit payment to our address. It should also have a due date for the payment which should be by the 21st of each month. Each user will need a radial button option for the admin to click on in order to charge fees via PayPal or to bill that customer via the billing report in the admin. The default should be for the system to collect the fees via PayPal. I will need two billing reports, one that has only one customer on it, basically a bill or invoice as described above for a single customer so that the invoice can be mailed out for collection, and one for the admin with the name, invoice number, auction number, total amounts owed and that are being billed for all customers so that I can see from one report each customer and all fees that should be collected for the month. I would like this report automatically generated and emailed to both the customer and myself at the conclusion of every month. Also this report should be aware of the dates that the fees were generated, thus if a fee is owed that is over 30 days past the date the invoice was generated, another past due email is automatically sent to the customer as well as at 60 days a late notice is emailed and at 90 days a late notice is emailed. If I have not posted a payment within the 30 days past due I would also like a copy of the email that is automatically sent to the customer, be sent to me so that I can snail mail out the late notice along with the email that they will be receiving.
To rectify the fees in our system I will need a field in the admin where I can let the system know I have received payment. Basically a text field where I can either type in the invoice number, auction number or the customer’s name, and another field where I can type the amount collected. This would then need to post to the customers account so that the system would see that if they owed $300 and paid $150 then they would still have a balance of $150 owed and this would carry forward to the next bill that we would generate. Also by doing this I can pull the billing report and they would only show up for current fees owed. I just need the ability to tell the software that we have collected the fees and it should reduce the amount the customer owes by the amount I tell it we have collected.
A "notes" section for each person or dealer that creates an account. The notes section would only be viewable by admin and the notes will only be able to be made by admin. None of the notes should ever show up for anyone else to see. I just need a notes section so that if we make a special deal with the dealer or person we can type in a note under their account information so that we can refer to it later, or if we have a problem with a customer we can make note of it. We should be able to edit and add to the notes section. I would like the notes to be saved for later viewing when looking the customer up in the admin side.
Terms and Conditions:
I have the copy for the terms and conditions. I just need fields in the admin section to type the terms and conditions in. The terms and conditions should have to be accepted before a seller account is created or a buyer account is created and also a note like eBay has that says something when confirming a bid that by bidding the bidder acknowledges that they are bidding and could buy the vehicle and that it is legally binding and that if they are the winner of the auction they will have to pay a nonrefundable deposit etc.

It is a free widget or tool from Google. It should be added to the top of the home page of the auction software with some text stating to click here to translate this site into another language. If you would like to see it in action we use it at [url removed, login to view] however I would like for the widget to be placed in a more natural area for our software.
I would like for Google Analytics to be coded so that I can get a different perspective of the customers accessing our site.
I will provide the final domain name before you install the completed software. Either way, I will need you to provide a link on the homepage of the new domain so that users can go back to our current website from our new domain if they wish to do so. You will need to provide me with the DNS for the servers that our site will be hosted on so that I can put that information into the domain administration.
Email accounts for new domain:
I will need several email accounts and wish that certain emails go to these different email accounts. First I would like a personal email account . I will need several admin email addresses in order to divide the vast amount of emails the admin will get automatically when certain things happen on the site, this way several people can monitor different aspects of the website. I need an email account that the disabled account emails are sent to when a user is trying to log into an account that has been disabled. It is the email that the user will send to us when having account issues I would like a separate email address that the Make an Offer emails are sent to. Also, I would like another email address that the approval of ads or postings email is sent to. Finally I also need an email account where the general questions email would be sent to. This could be located under a contact us headingThe make an offer, approval of ad, and the disabled account emails addresses should not be listed for public viewing.
Finally I would like an advertising function that will allow me to send an email to everyone that has signed up and has a verified email address. Basically a text box that I can type a subject line and an email and then it is sent to everyone with a verified email address on our system. It should have an unsubscribe function so that they do not have to receive unwanted emails from us in the future. We have this functionality on our main website and it is called a broadcast feature on it.
Basically I want all of the functionality of an eBay motors, but with these customizations.
