Creative Virtual Assistant / Project Coordinator role.

Hi I'm looking for a Virtual Assistant / Project Coordinator to help manage projects across multiple clients and channels. The hirer is a digital based creative agency working out of Sydney Australia. This role reports to the Art and Operations Director.

Specific duties of this role include the following:

Partners with Project Director to ensure overall workload is properly balanced.

Reviews unresolved issues and questions on a daily basis and serves as first step in escalation process for persistent problems.

Maintains close, daily interactions with Tech Director Lead and the Studio and Operations Resource Manager.

Assesses and refines processes, driving for efficiencies and timeliness of work.

Monitors and maintains quality, service levels, work flow and delivery dates of team using Trello and other software

Serves as a dedicated coordinator for specialty channel or developing and maintaining effective working relationships and communication with relevant partners.

Collaborates with channel partners and Creative to define and intake projects and ensure all team members acquire a thorough understanding of the project's components and the production requirements.

Leads, creates, and implements project management process to effectively plan and manage project timelines for specialised channels and types of projects.

Troubleshoots and provides solutions to Account teams for various process issues.

Assigns tasks and schedules deadlines for each step of a project through completion.

Negotiates timing with partners, troubleshoots scheduling issues, and implements changes.

Proactively and successfully reconciles competing project priorities against business priorities.

Works in project management system to support and ensure schedules are maintained.

Serves as final quality check before project materials proceed to review by agency and client partners.

Provides coaching and guidance to team members. Assesses skills, communicates well and delivers useful messages, helps determine when issues should be handled in person rather than via email.

Exceptional organisational skills, including the ability to build and manage schedules, ensuring timely delivery of all projects.

A diplomatic approach to communicating with team members regarding impending and/or jeopardised deadlines.

Experience in various marketing channels, including print, direct mail, web, and digital media.

Strong relationship-building skills, including collaboration and conflict resolution with team, peers, and partners.

Strong team management and leadership skills.

Ability to set strategic direction for team, manage resources, and deliver work in a timely manner.

Project Type: Ongoing project

20 hours Per week, Australian (Sydney) Business hours (with the possibility of increasing hours with work load)
