The Administrative Assistant’s primary role will be to manage the office area while providing general Administrative and Office Management support within the office. This position will require a candidate that is very professional and possesses excellent communication skills.
Administers and controls Customer invoicing by performing data entry and creating batch and monthly payment records.
Assists in maintaining office support by performing other office functions including payroll and A/P; supports other office personnel if applicable and as directed by supervisor.
Communicates in an effective manner by utilizing accepted business practices in a courteous and professional manner providing timely and accurate responses and service oriented offers of assistance.
May assist Sales aRepresentatives by maintaining sales files, contracts, price sheets and book, mailings, market research; provides Customers with general information facility brochures and creating invoices for services.
Protects company confidential information by properly storing, retrieving and disseminating such information only to those authorized.
Handle visitors, candidates, and guests professionally
Assist with general office management duties (i.e. processing/ordering/stocking supplies, calendar management, and booking conference rooms)
High School Diploma, college degree preferred
Minimum of 2 + years’ experience in office administration
Strong MS Office suite, Excel, Word, Outlook, Adobe, Quickbooks and familiarity with Internet a must.
The ability to manage multiple staff and work on multiple projects simultaneously.
Requires strong communication skills, both verbal and written, organizational skills, both analytical and problem solving, and the ability to work with confidential documents.
Ability to manage multiple tasks and achieve deadlines under pressure.
Candidate must be comfortable moving seamlessly between projects and tasks
Candidate must have the ability to prioritize work flow independently and efficiently
