ZOHO - HANDLING AFTERSALE/COMPLAINT

Project 1 : Aftersale Project
Platform: Zoho
Communication channel: WhatsApp Business API
Integration tool: Zapier if required
User Interface: Zoho Creator or zoho desk or to advice
Here's how the system will work:
The customer will send a message on WhatsApp with their complaint.
Zapier will receive the message and trigger an automation in Zoho Creator.
The automation will use Zoho CRM Plus to create a new ticket for the complaint.
The customer will receive an automated reply asking for their invoice number, customer name and details, and nature of complaints. They will also be asked to upload pictures of the damaged product.
Once the customer has provided the required information, the ticket will be updated with the information provided by the customer.
The staff will receive a notification of the new ticket, and they will be able to view the complaint and respond using pre-designed templates according to the nature of the complaint.
If the complaint requires repair, the staff will be able to send an invoice for repair cost, including labour and transport.
The staff will also be able to schedule and coordinate with the customer the date and time of the repairs taking place.
Once the repair is done, the technician will upload pictures of the repaired item and make the customer sign an online form that repairs have been done successfully.
The ticket will be closed once the repair is completed and signed off by the customer.
Project 2 - Delivery Slot
The customer will send a message on WhatsApp requesting delivery.
Zapier will receive the message and trigger an automation in Zoho
The automation will use Zoho CRM Plus to create a new delivery order.
The delivery department will set the number of delivery slots per day and their weekly schedule
The customer will receive an automated reply with the available delivery slots.
The customer will select a delivery slot from the available options.
The selected delivery slot will be updated in the delivery order.
The delivery department will receive a notification of the new delivery order with the selected delivery slot.
The delivery department will dispatch the order based on the selected delivery slot.
The customer will receive a notification confirming the delivery slot and estimated delivery time.
Once the delivery is completed the customer get an sms or whatsapp to leave a review on our page.
