GOHIGHLEVEL MASTER SNAPSHOT ARCHITECT – ADVANCED BACKEND BUILD (PROBATE SYSTEM) I am hiring an ADVANCED GoHighLevel automation architect to build a fully modular, cloneable MASTER SNAPSHOT for a Probate Attorney CRM and automation system. This is not a beginner workflow job. This is not funnel design. This is not ads. This is not VA work. This is high-level backend CRM architecture inside GoHighLevel. If you have not built structured, scalable, multi-workflow snapshots before, this is not for you. OBJECTIVE Build a clean, modular, scalable master snapshot that handles the entire lifecycle of a probate lead: Missed Call / Form Capture → Qualification → Consultation Booking → Retainer Conversion → Long-Term Nurture. The system must be built category-based (lead acquisition architecture) so it can later be repurposed for private money lenders or other professional service niches with minor edits (rename stages, swap fields, adjust scoring thresholds). I am not looking for messy, duplicated, all-in-one workflows. I want clean trigger control, strict naming discipline, tag-driven segmentation, and zero automation conflicts. SCOPE OF WORK 1. PIPELINE ARCHITECTURE Build PIPE – Probate Client Acquisition with the following stages: New Inquiry, Attempting Contact, Case Screening, Qualified – Consultation Needed, Consultation Scheduled, Retainer Sent, Retained (Closed Won), Not a Fit (Closed Lost), Long-Term Nurture. Opportunities must auto-create on defined triggers (missed call, intake submission, tag application). Stage movement must be controlled by workflow logic (not manual). All opportunity naming conventions must be standardized. No duplicate opportunity creation loops. 2. MISSED CALL AUTOMATION Trigger: Call Status = Missed, Direction = Inbound. System must create/update contact, apply source tags, create opportunity in New Inquiry, send instant SMS, notify internal staff, and initiate a structured follow-up sequence (minimum 3 touches). Must include reply detection, conditional branches, stop-on-response logic, and auto-removal if appointment booked or opportunity closed. No overlapping triggers. No re-entry loops unless intentionally controlled. 3. PROBATE INTAKE + QUALIFICATION ROUTER Build FORM – Probate Case Intake with conditional logic and required custom fields (County, Estate Value, Executor Status, Probate Filed, Urgency Timeline, Property Involved). Build WF – Intake – Qualification Router that updates contact records, applies segmentation tags, moves opportunities automatically based on qualification thresholds (ex: Estate Value ≥ X + Executor = Yes), triggers internal notifications for high-value cases, and optionally uses lead scoring. Must clearly separate high-priority probate cases from long-term nurture leads. 4. CALENDAR + CONSULTATION AUTOMATION Build CAL – Probate Consultation with booking confirmation SMS/email, structured reminder sequence (24h, 3h, 1h), automatic stage movement to Consultation Scheduled, and automatic removal from nurture workflows upon booking. Include No-Show workflow with stage adjustment and rebooking logic. 5. RETAINER TRACKING SYSTEM When invoice sent or tag applied, move opportunity to Retainer Sent and trigger reminder sequence. Upon payment received, move to Retained (Closed Won), apply retained tag, and remove from all nurture workflows. No manual pipeline updates required. 6. LONG-TERM NURTURE SYSTEM (60–90 DAYS) Structured SMS + email cadence with educational probate messaging. Must include conditional stop triggers (appointment booked, retained, do-not-contact, stage change). Leads inactive for defined time must auto-move to Long-Term Nurture stage. Workflow must be cleanly isolated from booking and retainer workflows. SNAPSHOT BUILD REQUIREMENTS Strict naming conventions (PIPE –, WF –, TAG –, FORM –, CAL –). Modular workflow architecture (each workflow handles one job). No giant multi-branch monster workflows. No trigger duplication. Clear entry and exit conditions. Designed for sub-account cloning without logic conflicts. Built so pipeline names, stage names, intake fields, messaging tone, and qualification thresholds can be edited for other niches (ex: private money lenders) without rebuilding workflow logic. DOCUMENTATION (MANDATORY) You must provide a detailed Loom walkthrough explaining trigger → condition → action structure, tag strategy, opportunity creation rules, stage movement logic, re-entry control, and how to customize per niche. You must also provide written documentation outlining each workflow’s purpose, modification instructions, and deployment process. SCREENING REQUIREMENT (REQUIRED TO BE CONSIDERED) In your proposal, explain in technical trigger → condition → action format how you would structure: Missed Call → Probate Intake → Pipeline Movement → Consultation Booking automation. If you respond with vague or generic answers, you will not be considered. WHO THIS IS FOR Someone who understands workflow re-entry settings, event filters, tag isolation, opportunity control, and scalable SaaS-mode style builds inside GoHighLevel. If you have only built simple contractor missed-call workflows, this is not the project for you.
