cPanel / Exim Email Deliverability Expert Needed – 554 Errors Description: We are looking for an experienced cPanel/Exim email server specialist to troubleshoot an inbound email delivery issue on our company domain. Our company emails are working normally and we can receive emails from most external senders. However, emails from one specific government organization are being rejected or delayed by our mail server. The sender is using Proofpoint, and they are receiving errors such as: * 554 5.1.2 <[login to view URL] #5.1.2> * 554 5.4.0 <[login to view URL] #4.2.0> Our current setup: * cPanel hosting * Exim mail server * MX points to our cPanel mail server * Email Routing: Local Mail Exchanger * cPanel Email Deliverability: Valid * SPF, DKIM and DMARC configured * Other external emails are being received normally We have also noticed another issue that may or may not be related to the email delivery problem. Some of our employees are able to use their company email accounts normally through Outlook on their laptops without a VPN. However, for two users , the company email does not connect/sync properly unless a VPN is enabled. For example, on an iPad or MacBook, the mail server and company domain cannot be resolved/accessed normally without VPN, while enabling the VPN allows the email account to connect and sync immediately. We have already confirmed that the mail server IP itself is reachable without VPN, which may indicate a DNS resolution, network routing, hostname, SSL, or device/network-specific issue. We would therefore like the specialist to investigate both issues: 1. Why incoming emails from Proofpoint are being rejected or delayed with SMTP errors 554 5.1.2 and 554 5.4.0. 2. Why certain users/devices require a VPN to connect to our company mail server, while other employees using Outlook can access the same company email system normally without VPN. Please investigate whether these two issues are related or independent and identify the root cause before making any major DNS or mail-server configuration changes. We need someone who can investigate the server-side SMTP/Exim logs, DNS/MX configuration, firewall/anti-spam rules, greylisting, sender/recipient verification and identify exactly why emails from this specific sender are being rejected. Please only apply if you have strong experience troubleshooting cPanel/Exim SMTP 554 errors and inbound email deliverability issues.

Hi there, I saw your Proofpoint inbound issue - 554 5.1.2 / 5.4.0 rejecting a specific government sender while all other mail works, plus 2 users needing VPN to sync mail though the mail IP is reachable. I can investigate both and confirm if they're related. What I'll do: ✅ Check Exim mainlog/rejectlog for Proofpoint IPs, test recipient verification, ACLs, greylisting/RBLs and MX/DNS causing the 554s ✅ Diagnose VPN-dependent sync - check mail hostname DNS, AutoSSL, CSF/firewall blocks and ISP routing for iPad/MacBook vs Outlook ✅ Backup Exim/DNS configs first, verify fixes with swaks/telnet before any live changes ✅ cPanel/WHM & Exim SMTP troubleshooting ✅ DNS/MX/SPF/DKIM/DMARC & Email Deliverability ✅ CSF Firewall, anti-spam & Proofpoint handling ✅ SSL/AutoSSL & mail hostname connectivity ✅ Microsoft® Certified: MCSA | MCSE | MCT ✅ 300+ projects delivered, 280+ five-star reviews Why me: 24/7 available, fast responses and unlimited revisions until you're satisfied. Can you share your domain/mail hostname and temporary cPanel/WHM access so I can check Exim logs and DNS directly? I can deliver in 1 day for 30 USD and can start right now.

Good afternoon! I'll dig into your Exim SMTP logs, DNS/MX records, SPF/DKIM/DMARC alignment, and firewall/greylisting rules to pinpoint why Proofpoint is triggering 554 5.1.2 and 554 5.4.0 errors, and I'll separately check hostname resolution, SSL, and network routing for the two VPN dependent users to confirm whether the issues share a root cause. I only apply changes after root cause is confirmed, protecting your working mail flow. Looking forward to hearing from you.

Hi, I'm Denis, a full-stack developer experienced in troubleshooting server infrastructure, email systems, and network configuration on Linux. I see two interconnected issues: Proofpoint emails hitting 554 errors on your Exim server, and some users needing VPN to access email on certain devices. Since your mail server IP is reachable without VPN but hostname resolution fails, this likely points to a single DNS or routing issue affecting both inbound validation and client connectivity. I've resolved similar problems caused by reverse DNS mismatches, hostname resolution failures, or firewall rules that reject specific senders. Client connectivity issues like yours typically stem from DNS resolution failures or SSL certificate hostname mismatches that only appear on certain networks or devices. My approach: First, I'll review your Exim logs and SMTP rejection details to identify what's triggering the 554 errors. Then I'll examine your DNS configuration, reverse DNS records, and hostname resolution across different networks. I'll check firewall rules, greylisting settings, and sender verification logic that might be blocking Proofpoint. The VPN connectivity issue should become clear once we resolve the DNS problem. The main risk is making changes that break something else. I'll document your current state and test changes carefully before applying them to production. I'm available to start immediately. Let's discuss the details. Thanks, Denis.

Hi, I can see the hidden issue here: this is less about “email not working” and more about one path in your mail flow being treated differently by Exim or network resolution. I’ve handled cPanel/Exim troubleshooting where normal mail works, but a specific sender or device path fails because of DNS, recipient verification, routing, greylisting, or hostname/SSL mismatches. I’ll inspect the Exim logs, MX and local exchanger behavior, Proofpoint-related SMTP responses, and the device-side/VPN access pattern to determine whether the two symptoms share one root cause or are separate. I’ve shared an initial estimate based on your description, and once we go over a few technical or functional details, I’ll confirm the exact cost and delivery schedule. If needed, I can then recommend the smallest safe fix before touching DNS or mail-server settings. Could you share whether the failing users’ devices resolve the mail hostname to the same IP and whether their Outlook profiles use the exact same server name as the working accounts? Best regards, Asad

Hi, I can troubleshoot your cPanel/Exim inbound mail issue and identify why emails from the Proofpoint-based government sender are being rejected or delayed with 554 errors, while also checking why some devices need VPN to access mail. The best solution is to first review Exim logs, rejected SMTP transactions, DNS/MX records, hostname/rDNS, SPF/DKIM/DMARC status, greylisting, firewall rules, anti-spam filters, sender/recipient verification, SSL/mail hostname settings, and device/network-specific resolution issues. Then I’ll separate whether the Proofpoint rejection and VPN-only access problem share one root cause or are independent issues. I’m comfortable with cPanel/WHM, Exim, Linux mail logs, SMTP troubleshooting, DNS/MX records, SSL/hostname checks, firewall rules, mail routing, inbound deliverability, Proofpoint-related rejection analysis, greylisting, spam filters, Outlook/mobile mail connectivity, and root-cause reporting. Deliverables will include: * Exim log investigation * 554 error root-cause analysis * DNS/MX/mail routing review * Firewall and anti-spam rule check * Greylisting and verification review * SSL/hostname/connectivity check * VPN-only device issue investigation * Safe fix recommendations * Applied changes after confirmation * Final summary report I’ll focus on finding the exact cause before making major DNS or mail-server changes, so the issue is fixed safely without disrupting normal company email. Hi - Jordan here "SOLVE 554 EMAIL ERRORS WITH CPANEL/EXIM EXPERTISE" , you need cPanel / Exim email server troubleshooting for 554 errors and VPN-only mail access. I'd trace the Exim SMTP path against the Proofpoint rejects, then compare DNS, routing, and device resolution paths so hidden hostname or policy mismatches don't get blamed on the wrong layer. Each mail event will carry sender, recipient, timestamp, and response code, with a clean repro on the government sender and a first proof of whether the VPN-only issue is the same root cause used as the acceptance test. Is the Proofpoint sender hitting the same MX hostname that your devices resolve on or are they landing on a different mail host? Looking forward to work with you

Hello, I can debug the 554 errors by checking Exim logs for specific rejection reasons—like greylisting or SPF/DKIM misconfigurations—rather than assuming the issue is with the sender's Proofpoint setup. The VPN problem likely stems from split DNS or client-side network policies, not the mail server itself. I fixed similar issues for a client where Proofpoint rejections were caused by missing DMARC alignment. The logs showed 554 errors due to soft fails, not hard bans. For the VPN issue, I traced it to a misconfigured internal DNS record that only resolved over the VPN. I’d approach this by first analyzing Exim logs for the 554 errors, then verifying SPF/DKIM alignment and DMARC policies. For the VPN problem, I’d check for split-horizon DNS or client-side firewall rules blocking non-VPN traffic. Both issues are solvable without major server changes. The biggest impact will be restoring reliable email delivery for the government sender and fixing the VPN access for affected users without disrupting the rest of the team. I’ll provide a detailed report with specific fixes, including any necessary cPanel or Exim configuration changes, and explain the long-term steps to prevent recurrence. If this aligns with your needs, I’d be happy to review your current setup and logs to pinpoint the exact causes before making adjustments. Thanks, Lazar.

Hi there, I can help you with both the Proofpoint rejection issue and the VPN-dependent mail access problem. The 554 5.1.2 and 5.4.0 codes usually point to routing or verification failures in Exim, and I'd start by pulling the mail logs from the exact time those messages were rejected to see what Exim is saying. The VPN issue with just two users sounds like it could be DNS or IP-based filtering, possibly related to how those devices resolve your hostname. I'm Edward, been doing cPanel and Exim troubleshooting for years. I'll dig into the logs and DNS config first before touching anything. Happy to chat about this.

Mail from one government sender behind Proofpoint rejected with 554 while everything else arrives. That narrows it down fast: usually a reverse DNS or HELO mismatch, an RBL listing, a spam-score rule Exim applies to that sender's headers, or a recipient-verification callout failing. How I would work it: - Read the Exim mainlog and rejectlog for the exact rejection reason, which is more precise than the 554 text the sender sees - Check DNS, PTR and MX, and any SpamAssassin or RBL rules that fire only on that sender - Fix the actual cause rather than whitelisting blindly, then whitelist as a safety net if appropriate - Confirm with a test message from the sender and document what was wrong I run production mail and DNS infrastructure for my own services and debug Linux servers daily. Usually under an hour once I have access. One question: can you paste the full bounce text the sender received? Martin

Hello, I will investigate both issues and identify the root cause before any major DNS or mail-server configuration changes are made. I'll check the Exim SMTP logs for the Proofpoint sender, the 554 5.1.2 and 5.4.0 errors, and DNS/MX, greylisting, sender/recipient verification and firewall/anti-spam rules to find exactly why this sender is being rejected. I'll also look at why those two users only connect via VPN while other Outlook users don't, and confirm whether the two issues are related or independent. You'll get the exact cause for both before anything changes. I can start now and complete the investigation today.

I've spent years diagnosing Exim SMTP rejections and cPanel mail routing on production systems, so this is right in my wheelhouse. I'll start by pulling Exim logs to isolate the 554 5.1.2 and 5.4.0 rejection patterns—these typically point to recipient verification failures or malformed envelope addresses, often triggered by greylisting or sender authentication mismatches with Proofpoint's infrastructure. Then I'll audit your SPF/DKIM/DMARC alignment, MX record propagation, and firewall/rate-limiting rules to rule out blocking on our end. For the VPN-dependent client issue, that's a separate DNS resolution or SSL certificate validation problem—I'll check hostname resolution, reverse DNS, certificate chain, and whether clients are hitting a split-horizon DNS or firewall rule that's breaking non-VPN access. I'll review cPanel's exim configuration, authentication handlers, and any IP-based restrictions that might be asymmetrically affecting certain devices. Once I isolate root cause, I'll document findings and provide targeted fixes without touching production until validated. I can start immediately. Thanks, Andrii.
