Summary What is required is a content management system to cater for the below requirements and features. The website design will not be required. The pages under the headings Password Retrieval, Features Explained and Database Accountabilities indicate the elements of the website project where a cost analysis is required. Style sheets, design, artwork ect will not be required to be costed. Further specific details can be provided at your request to aid costing. Artwork or graphic templates will be provided to guide your development. Sample data can also be provided. The site will be hosted on a Cold Fusion server Version 6. Access to this server will be granted to aid development. This includes FTP access. Data sources can will be set up. Using an Access Database. This is a multi stage job, the above is for stage one and is due 1st July. See attachments for more details, the payment gate way doesnt need to be be developed in stage 1, the features we need to get working first are the Stratergy bank and Shop. This is a tight deadline so please only bit if you are capable of doing the job on time and well. Member Group: is the group of Users for each Member – usually only five. User: is one of the five users that each Member Group can have. Except for the Strategist user level which can only have 1 user (Master). Master User: the allocated user who can edit Member details. TSG Staff: People who work for The Strategist Group Dealer Group User: A Dealer group User is simply someone who logs in to the site just to view the Results of the competency exams for each Member Group. There may only be 6 or 7 Dealer Group Users. Client Overview Type of Business Educating Accountants and Financial Planners/Advisers on the technical laws, legislations as well as introducing financial strategies for Self Managed Superannuation funds Number of Subscribers 600 approx. Web site clients Accountants, Financial Planners, Dealer Group Managers, TSG Staff Site Overview The SMSF web site will consist of three subscriber user restricted levels that cater for their diverse subscriber base. The objective will be to concentrate and disseminate the relevant information to the specific levels. Common Features The common features of the restricted user levels will be: Design and Style: Each level will have the same design and style with the exception of a subtle colour code identifying each user level. The colour code allocated to each level will be decided at a later date. The navigation, layout, style sheets will be identical barring the colour coded elements. Also each level will have an ‘About' prologue available in text and media format. User Level Home Page: Each home page will have an identical layout and presentation format. Example: News would be in the same area for each level and powered by the same back-end source. Search Function: The search function will appear in the ‘Strategy Bank' section of the web site. There will be restrictions on what you can search for depending on what user level you are logged in to. Member Profile: Each member has the ability to edit their own details such as address, phone ect. Online Product Ordering: Each user level will have access to the online ordering facility where products and services can be purchased or upgraded. Disclaimer and any other house keeping documented material. User Level's Defined The entry user level will be the Strategist level. Strategist Member Groups will be encouraged to upgrade to the Business level to enjoy the added features and information on the web site. Specialist Members Groups will however be a select number of members whose business is specifically geared towards the providing SMSF solutions. User Login's Members of the Strategist restricted user level are only allowed one user login per business. Business and Specialist user levels allow up to five user login names per business. A user name will consist of a four digit member number followed by the initial of the users first name followed by the first 4 letters of their surname. Example: Acme Accounting may have a member number of 1234 and one of the employees of Acme will be their accountant John Brown. John's user login name will be 1234jbrown. Passwords are nominated by each user and can also be changed at any time. Password Retrieval On the front page of the site will be a link for forgotten passwords to be retrieved. This link takes you to a page where the user enters their email address and submits that to the CF engine. The user then matches the email address entered with the email address on the CF database and if identical the password will be sent via email. Features Explained Training & Industry Competency Exams Each user is required to do a five question multiple choice exam at the end of each months webcast. These exams demonstrate the user's competency and financial knowledge of the webcast. Because they are logged in the results are submitted to the database and stored in the Members area that the User belongs to. The results however do not become accessible for seven days so that the other users in that group do not release the answers. A user can access their results only. A Master User can access all of the Users in the Member Group and a Dealer Group User can also access all of the Users in the Member Group. Product Ordering The SMSF site will have a facility to purchase products and services online utilising an instant Credit Card Authentification Gateway( in stage 2). These items could be Membership Upgrade or Renewal, DVD's or Books and Documents. In total around 20 separate items. A Master User is the only person who can order these items. Every time a transaction is made it is logged in the Member Groups database for only the Master User and TSG Staff to view. The transaction then concludes by authenticating the Member Groups credit card through a transaction gateway. If possible the client would also like the purchase to be reflected in their online accounting system (more details later). Strategy Bank The Strategy Bank (SB) consists of searchable documents that contain technical information. These documents consist of just text or text with links to media. All media will be produced by Mediahouse. At the time of creation, TSG staff selects the document type and then populate it with data before sending it live to the website. The SB search engine can then search for all or key words and display the results to the user. Training Calender This feature is only available to the Specialist level. It will indicate the dates for specialist training events in specific states or cities. Deed Online Ordering Deeds are an item that can be ordered, upgraded or edited via the Product Ordering page. A typical scenario for Ordering a Deed requires up to 20 or 30 fields to be filled in. These fields require a degree of validation to ensure the correct details are entered along with the correct format. The data is then sent to the database and a PDF file is generated. The user is then sent to the Credit Card Gateway to complete the order. Database Accountabilities The database for the SMSF will manage the following areas: SMSF security usernames and passwords – self explanatory Member Group details – The database will store details about each Member Group such as contact details, subscription details and User details. The Master User is the only user who can add, delete or edit Users. Some fields can only be edited and updated by TSG staff. Training & Industry Competency Exams – Results for each User is stored on the database. The format would be: user 1234jbrown 12/5/04 3/5. Translation: the user john brown from member 1234 got 3 out of 5 right for webcast 12/5/04. Only that user or Master User or a Dealer Group user can access the results. Dealer Group Users – There will only be around six or seven of these users. User names and passwords are pre-determined. Contact details for each user will be all that is stored. Example: name, phone, email. Product Order History – Date of purchase, type of product and other data is to be logged as a part of the Member Groups order history. Webcast Presentations – These are just pages with a link to a webcast presentation. Each month a new record is generated with a title, a description and some key words. This would be a typical intro page to a webcast. The intro page also contains a hyperlink to a webcast (Mediahouse to produce webcast). Trust Deeds – All deed data is to be kept on record for each Member Group. Some Member Groups may order twenty to thirty Deeds annually. Deeds contain 20 – 40 fields of data. Searches for deeds would only be required on a chronological basis as well as a deed order number.
