I am reaching out to the freelance community to find someone who wants to tackle this project for me.
I need a software program that works on Windows on any laptop/mobile device/ipad, etc.
The software will keep track of the common record-keeping tasks at a valet parking operation.
The softare will have a simple, one-screen user-panel interface that is easy to read, use and has all
the features listed below. The Admin Panel will be a troubleshooting feature with a username and
password that allows an admin person to make corrections or look up data from past archives.
The program/software will use a barcode reader to login and logout vehicles using a paper valet card that
is attached to each car. The barcode on each tag will only be a simple number, no order, no vehicle data, but
the number is the "account" for that vehicle only. So the barcode feature simple reads any bar code
and assigns a car/account to that barcode upon initiation of that car/account card (attached to the keys).
The valet parks the car, write vehicle info on the tag and hands it over to a clerk who swipes the barcode
on the laptop and logs the vehicle info for that account. This entry is dated and the time is recorded as
well as other data (driver number, date, time, barcode /account number, parking stall, guest name, room number,
make/model, color of car). The "status" of the car is "parked" in "location x".
When the guest requests their car, the clerk scans the barcode for that vehicle and the software opens the account and
automatically changes the status to "open" and then the clerk selects "out" and the software assigns
the vehicle to a valet to retrieve the vehicle. This is another critical part of the software. A rotation schedule will
be assigned by the clerk in the admin panel each day (editable as needed). That rotation includes a list in order of
available valets (just their 2-digit number). That rotation will be used when retrieving vehicles. The software must keep
track of the rotation and assign accordingly. The clerk can hit a button that says "skip" to select the next valet in sequence.
(see rough draft drawing of user-panel). An example of the rotation entry will be like this:
22, 4, 7, 19, 49, 13, 12, 1,5
The first in rotation will be 22 and the software automatically starts with the first in rotation after the last in
sequence has been used. The clerk will "delete" a valet number formt he rotaion when they leave for the day or "skip"
if they are at lunch. The clerk will add a new valet number each time a valet starts his/her shift.
So a day may go like this:
6AM the clerk notes the schedule and has 2 valets (22/13). So the rotation is input as: 22,13
Then at 9am another valet arrives for work and is added by the clerk and the software assigns the new valet to the
sequence at the bottom of the list: which is now 22/13/5. And so on throughout the day.
When #22 goes hoem the new sequence wil be 13/5. If an assignment is mistakenly assigned to the wrong person, or
the person who was assgined did not valet the car, the clerk can "reassign" the valet for that account by simple
(see attached image which shows a crude example of what the user panel might look like. I don't like the colors and I noted that some features are missing, but it gives you an idea.)
two types of vehicles will be separately recorded: "Guests" and "Visitors"
Each having the same data and actions, but two different databases. When you look up a barcode you must select which
class/type before you record or review the account/vehicle data. The same goes for assigning the initial account--a
class/type must be selected first.
The software will be able to provide these viewable and printable reports from the admin panel menu:
1. current vehicles parked: guests
2. current vehicles parked: visitors
3. total vehicles parked: guests & visitors"
4. List of parked vehicles by time for current day
5. List of parked vehicle by date in time order
6. List of retrieved vehicles by time for current day
7. List of retrieved vehicles by date in time order
8. List of vehicles parked by specific valet number on date
9. List of vehicles retrieved by specific valet number on date
10. Total Vehicles parked calendar month
11. Total vehicle retrievals calendar month
12. List of vehicle current parked on site by guest room number"
13. List of vehicles current parked on site by guest name alphabetical"
14. Current Rotation List
15. Rotation list for given date
Admin panel lists these reports available and editing/retrieving accounts functions.
The clerk should be able to edit accounts as well from the user panel for that current date only.
The barcode assigned to the specific account can be transferred to a new barcode by simple selecting
transfer barcode (in case the tag is lost or damaged). The new tag reflects the account, and the old barcode is deleted.
The database resides on the computer on which installed. If the software is used on a different computer, the database files
will be blank. The databee files can be saved and transferred to a different computer and therefore the saftware will
use the version transferred. The software must "archive" the past months database into a separate file with date. That
file will no longer be used but can be read and accessed by the admin. The database should be able to be read and printed
from previous months using the archived months files and noting which report is needed.
- Barcode reader/ simple auxillary bar code reader should work with the software plug-n-play style.
- 2 or 4 gig memory stick will be used to transfer the final software to each computer/ipad device as needed.
Software must fit on the memory stick and be easily installed on any windows computer or device.
- pre-printed barcoded valet paper tag/cards will be supplied by a valet tag provider with a numbered barcode on each tag.
The tags will be used for 1 day up to as much as a month or so by the same guest, so the software must alert the clerk
if they try to assign a new tag to a barcode that is already in use (so they can use a different tag).
The software must auto-save every few minutes to prevent dataloss (without interupting the operation of the software).
Once a freelancer is selected we can discuss the project in more detail. The project will be awared to the freelancer who
understands and is capable of completing the project according to the project outlined above with great attention to detail,
revisions as needed and superior communication. The final software will become the property and legal owner of the project owner.
I pay using paypal only upon completion of the project.
If the project works out and the ssoftware works great after 6 month testing, we will work on phase two of this project (more money for you)
A. All bids over the project maximum will be summarily deleted.
B. This project is for the software Only. We already have a barcode scanner and a laptop.
